Download all your HubSpot call recordings in one go
HubSpot has no button to download your call recordings in bulk. This small tool, which is still in beta, downloads them in bulk to a folder on your own computer, with a spreadsheet index of every call.
What it does
- Downloads the audio of call recordings made with HubSpot's built-in calling, in bulk.
- Saves them into dated folders, plus an index spreadsheet (CSV): date, direction, duration, phone numbers, owner and call title. A .zip file is optional.
- Designed to pick up where it left off if your connection drops, to retry when HubSpot asks it to slow down, and to stay within HubSpot's API rate limits. Large exports have been tested on a simulated account only; on a real account we've only tested a handful of recordings so far.
- Planned, not yet available: call transcripts. HubSpot only recently opened transcript access in a beta, and we haven't confirmed it on a real account yet.
What you'll need
- A HubSpot Super Admin, or a user with the Developer tools access permission, to create a read-only service key (Settings > Integrations > Service keys). It needs one read permission,
crm.objects.contacts.read, which is the permission HubSpot uses for reading call records. The person creating it must already have access to your call records. It takes a few minutes, and we'll send step-by-step instructions. - Call recording turned on in your HubSpot calling settings, with recordings already in your account.
- A Windows or Mac computer (the beta build is being prepared) with enough free disk space. HubSpot's built-in calling saves recordings as WAV files, roughly 2 MB per minute of audio (about 1 GB for 8 hours of calls). The optional .zip is around a third of that.
Planned price
US$39 one-off, planned
There are no payments during the beta. The price may change before launch, and we'll tell waitlist members first. Beta testers use it free.
Your data stays with you
The tool runs on your computer and downloads recordings directly from HubSpot to your own disk. Recordings and call details never pass through our servers, and we don't store your access key. Beta testers can delete the access key in HubSpot as soon as they're done, which cuts off all access. Only fill in the form below if you're happy for us to email you about this tool. You can ask us to delete your details at any time. See our privacy policy.
Honest limits
- It's in beta. It has been tested against a simulated HubSpot account and on one real HubSpot account of our own with a few new recordings. It hasn't yet been tested on accounts with years of older recordings, and may not work with every account setup.
- It's built for recordings from HubSpot's built-in calling. Recordings made with other phone apps connected to HubSpot are often stored by that provider, and may not be included.
- The beta build isn't code-signed yet, so your computer may show a security warning when you open it. We'll explain this up front.
- You're responsible for how you store and use recordings, including any recording-consent rules that apply to you.
